Data Retention and Deletion

While you use First Mate

Your account and your boat's record — equipment, stock, maintenance, shopping, vendors, documents, files, chat and activity history — are kept for as long as the account and boat exist, so the record stays complete.

• Chat conversations are kept until you delete your account. Deleting a chat removes it from your history in the app; ask us if you want a chat erased for good.
• Activity history (who changed what) is kept for the life of the boat.
• Most records of what a connected agent did become eligible for deletion after 90 days. Successful changes, grants and revocations are kept for the life of the boat.
• Expired agent tokens become eligible for deletion after 30 days. Cleanup of these tokens and eligible agent activity records runs when an agent connects or renews its access, so they may remain stored longer if no such activity occurs.
• Server logs are kept for 1 day by our hosting provider and for 7 days by our database provider. Performance traces and the logs sent with them are kept for up to 60 days by our monitoring service, then deleted.

When you delete something in the app

A record you delete disappears from the app straight away. A chat you delete disappears from your history but stays in our database until you delete your account or ask us to erase it. Documents, photos and other stored files can't yet be deleted one by one in the app; ask us and we will delete them. Removing your AI key deletes it immediately; revoking an agent stops its access immediately.

Deleting your account

Ask us at the address below. We confirm the request is yours and the scope and timing of deletion. Removing your account removes these database records:

• your account and sign-in;
• every boat you own, and its records, file references, chat, keys, agent connections and history;
• your vendor reviews;
• your membership of other people's boats.

We also delete the stored files of every boat you own (documents, photos, receipts, audio clips and router backups) and any receipts you uploaded without a boat, and confirm to you when that is done.

What you added to a boat you don't own stays with that boat, because it is part of that boat's record, including files you uploaded there that the boat can see. Your own chats there, and files you uploaded there that only you could see, are deleted with your account. Your name is removed from what stays, but that boat's activity history may still show your email address against changes you made; ask us and we will remove it. Manuals you contributed to the shared library stay, without your name.

Backups

Our database is backed up daily and each backup is kept for 7 days, so deleted data is gone from backups within 7 days of deletion. Backups are used only to recover from a failure.

Downloading your data

Any time — and during the notice period before we close an account or end the Service — you can download a spreadsheet from Settings → Account → Export Data with your boat's equipment and stock, shopping, vendors, haul-outs and warranty claims. Files can be downloaded individually, and we will send a copy of anything else on request.
